Sync Back

Sync Back sends your prioritization results from Ducalis back to YouTrack. This lets you sort issues in YouTrack by priority ranking, making it easy to find your top priorities.

Prerequisites

Complete issue import and token authentication first.

Field creation methods

Create custom fields in YouTrack using one of two methods:

Automatic (recommended): Turn on Sync Back and Ducalis creates fields automatically in YouTrack. No manual setup required.

Manual: Create fields in YouTrack yourself, add them to all projects, and map them in Ducalis.

We recommend automatic creation for faster setup.

Access Sync Back settings

1. Click the Sync icon on the bottom of the left sidebar.

   

2. Scroll down to Sync Back Fields.

   

Method 1: Automatic field creation

Automatic creation is enabled when the toggle is on.

Select fields to sync

1. Choose which Ducalis fields to sync to YouTrack.

   

2. Two default fields appear: Priority {emoji} Ducalis and Alignment {emoji} Ducalis.

   

3. To delete a field, hover over it and click Delete.

   

Activate sync

Switch on the toggle to activate Sync Back.

Custom fields are created automatically for all issues in the YouTrack projects you selected during issue import.

Board ID emoji: The emoji in custom field names is your Ducalis Board ID. If you change it, turn sync off and on again to apply the change.

warning

After enabling sync, you can't add more fields. To add fields, turn sync off first, add your fields, then turn it back on.

Schedule sync

Choose the day and time to sync priority rankings to YouTrack. Schedule it before sprint planning meetings for best results.

To sync immediately, click Manual Sync with YouTrack.

Method 2: Manual field creation

Manual creation is enabled when the auto-creation toggle is off.

Create fields in YouTrack

1. Go to Settings and select Custom Fields.

   

2. Go to Fields List and click New Custom Field....

   

3. Configure the field:

   • Enter a field name.
   • Choose the field type. Check the field type in Ducalis first to ensure they match. For example, if you want to sync the Ducalis 'Score' field, check its type in Ducalis and select the same type in YouTrack.
   

4. Check the option that allows the field to be empty, then save.

   

5. Add this field to all YouTrack projects used in your Ducalis board. Find this option in Backlog Management settings.

   

6. Click Add Fields to project..., then:

   • Choose the project
   • Select Use Existing
   

7. Find the created field and add it to the project.

   

8. Repeat for all projects used in your Ducalis board.

9. Return to Ducalis and click Refresh.

   

10. The field appears and you can select it.

    

Activate sync

Ensure there are no red fields (delete them if not needed), then switch on the toggle to activate sync.

To sync immediately, click Manual Sync with YouTrack.

Sort YouTrack issues by priority

After Sync Back runs, sort your YouTrack issues using synced data (priority rankings, total scores, criterion scores).

1. In your project, click sorted by [sorting attribute].

   

2. Click the current sorting attribute.

   

3. From the dropdown, select Priority Ducalis.

   

4. Select ascending order.

   

5. Click Apply.

6. Issues are now sorted by priority, with top priorities at the top.
